This guide is a high-level step-by-step tool to configure AVImark for Petly Plans. It includes written instructions and best practice tips to help your AVImark and Petly Plans workflow meet your practice's needs.

Creating a Company to identify plan members
Visually flag Petly Plans members in AVImark
Create the company

Navigate to Company Tables

Set up the company

Assign a Company Code, a Company Description (practice name + Petly Plans Member), and a Color. Click OK to save.

Apply to a client

Assign the company to the client

Right-click on the client → Change → Update the Co. field to match the Company Code created for plan members.

Best practice tipUse the Company feature to visually identify plan members so staff know to use WP codes on invoices. Remember to remove the visual reminder if a pet owner cancels their plan.

Best practice tipOpen AVImark on two separate workstations — one displaying the existing invoice code, the other creating the new WP code. This allows quick, accurate replication of all information.

Creating WP codes in AVImark
Required for each base and optional item in your plans

Create a WP code for each plan item

You will need a WP code for every base and optional item across your plans. Your Implementation Manager will provide a list of suggestions. WP codes must follow the format: WP followed by 3–5 digits (e.g., WP500WP1000).

Replicate all tabs from the existing treatment code

Match all fields from the existing treatment code. The only field that should different is the Discount Class — set this to WP Codes.

Best practice tipUse the Another function in AVImark to replicate the first tab of a current treatment code. Search for the code, right-click, and select Another to speed up the process.

Configure in Hospital Setup

Set up the non-plan discount

Navigate to Hospital Setup → Invoicing → Discounting. Create a discount for each plan type, choose All as the Discount Class, and set the rate to the corresponding non-plan discount (typically 5% or 10%).

Set WP Codes discount to 0%

Create a second discount for each plan type, select WP Codes as the Discount Class, and set the rate to 0% to exclude WP items from the non-plan discount.

Invoicing options
Three methods are available — choose the one that best fits your practice

Negative line item

Staff calculate the total cost of plan-covered services and enter a negative amount on the invoice to offset them. The balance due covers non-plan items only. A "Wellness Plan" staff member can be created for commission tracking.

Payment method

A "Petly Plans Coverage" payment method is created in AVImark System Tables. During checkout, staff select this method to cover the cost of wellness plan services. The remaining balance covers non-plan items.

100% automatic discount

A 100% discount is applied under the Wellness Plan Classification for each pet. All WP codes are automatically discounted to $0.00 when added to the medical history.

Create the 100% discount

Navigate to Hospital Setup → Invoicing → Discounting. Create a discount for each plan type, choose WP Codes as the Discount Class, and set the rate to 100%.

Match Charge and Cost fields on each WP code

For each WP code, ensure the Charge and Cost fields match in price for accurate reporting purposes.

Set the patient classification (without Wellness Plan feature)

Right-click in the Patient Area → Change → Update the Class to the appropriate plan type to activate automatic discounting.

Note:If you are using the AVImark Wellness Plan feature, the discount will activate automatically when the plan is added to the patient record.

Track enrollment dates, generate reminders, and auto-apply discounts

Create a treatment code for each plan type

Create a treatment code for each plan type (e.g., Silver, Gold, Platinum). This does not need to be a WP code.

Add a 12-month reminder

Add a reminder set to trigger every 12 months for the same treatment code to prompt plan renewals.

Add a Plan Entry

Add a Plan Entry using the same treatment code.

Set the Courtesy discount

Change the Courtesy discount to match the corresponding non-plan discount percentage for each plan type.

Search for Wellness Plan Indicator

Click the Wrench icon and search for Wellness Plan Indicator.

Enable the indicator

Set Display Wellness Plan Indicators to True to activate the color icons in AVImark.

Set the expired display duration

Set Display Expired Wellness Plan Indicators for Number of Days to the number of days your practice wants to display expired (red) icons after a plan has lapsed.

Invoicing tips and resources
Best practices for day-to-day Petly Plans invoicing in AVImark

Review a patient's plan in Petly Plans before their visit to view remaining wellness plan items and quantities.

Use the Select feature to create a treatment plan and total up the wellness plan services that will be invoiced.

Add a special image to the patient record to visually indicate they are on a wellness plan.

Use Reminders to notify clients of their plan renewal (if not using the AVImark Wellness Plan feature).
