Plan item data report overview

The Plan Item Data Report page has links to several preset reports and an option to build a custom report. The preset reports help an administrator quickly retrieve information regarding preventative care plan items and include:


  • Addressed Item Over Usage: View items acknowledged by management as having the quantity used on a plan exceeding the quantity allowed.
  • Unaddressed Item Over Usage: View items not yet acknowledged by management as having the quantity used on a plan exceeding the quantity allowed.
  • Unused Items for Active Plans: View limited-quantity items that are underused on plans currently in progress or on hold in a selected year.
  • Unused Items for Completed Plans: View limited-quantity items that were underused on plans completed in a selected year.


It is also possible to create a report using the Build Custom Report button. When selected, an Advanced Filters page displays various options used to narrow the report to information that meets specific criteria. As soon as the report is generated, the application searches the database for any records that match and displays them on the report.

 

Filters include:

Item(s) to Include selection list: View a specific item(s) listed on preventative care plans.

Item(s) to Exclude selection list: Select each item that should not be included on the report.

Usage checkboxes: View items where the quantity used on a plan is above or below the quantity allowed.

Options

  • Over Usage: View items where the quantity used on a plan is above the quantity allowed.
  • Under Usage: View items where the quantity used on a plan is below the quantity allowed.
Usage Addressed checkboxes: View items with over usages that were marked addressed and/or those not marked addressed.

Options:

  • Yes: View items where over usage was marked addressed and remain on the plan.
  • No: View items where over usage has not been marked addressed.

Quantity Used fields: View only items where the quantity used is within a specific set of numbers.

Range:

  • Min: View items with at least this amount used on a plan.
  • Max: View items with at most this amount used on a plan.

Unlimited Usage Allowed checkboxes: View items that have or do not have a set limit on the quantity allowed for use with preventative care plans.

Options:

  • Yes: View items that do not have a set limit on the quantity allowed for use with plans.
  • No: View items that have a limit on the quantity allowed for use with plans.

Wellness Plan Status checkboxes: View items available on preventative care plans with a specific status(s).

Options:
  • Active: View items on preventative care plans currently in progress or on hold.
    • In Progress: View items on plans currently in progress.
    • On Hold: View items on plans that have been temporarily halted.
  • Inactive: View items on preventative care plans that have been canceled, plans that are renewal plans not started yet, plans completed and renewals activated and plans that have been changed to a different plan prior to Petly Plans v1.4.1.
    • Canceled: View items on plans that have been discontinued.
      • Difference Paid: View items on plans where the client paid the difference of the non-discounted price of items used minus payments made to date when the plan was cancelled.
      • Difference Paying as Scheduled: View items on plans where the client chose to pay the difference of the non-discounted price of items used minus payments made to date on the normal monthly schedule until the amount owed is reached.
      • No Payment Needed: View items on plans where the no payment needed option was selected when canceling the plan.
      • Paying as Scheduled: View items on plans where client chose to pay the remaining cost of the plan on the normal monthly schedule.
      • Payments Paid Out: View items on plans where the client paid the remaining cost of the plan when it was cancelled.
      • Opted Out: View items on plans past their ending date where the renewal status had been set to Do Not Renew.
    • Completed: View items on plans that were finished and the renewal plan activated.
    • Plan Changed (legacy): View items on plans prior to v1.4.1 that were modified or changed to a different type of plan while still in progress and have a status Plan Changed.
    • Renewal: View items on manual or automatic renewal plans that have not yet started.
      • Automatic Renewal: View items on renewal plans that were automatically created but not started yet.
      • Manual Renewal: View items on renewal plans that were manually configured by staff but not started yet.

Plan Start Date options: View items on plans activated within a specific date frame.

Options:

  • Month & Year lists: View items on plans with a start date within the selected month and year.
  • Date Range from/to fields: View items on plans with a start date on or within the specified set of dates.

Plan End Date options: View items on plans set to end within a specific date frame.

Options:

  • Month & Year lists: View items on plans with an end date within the selected month and year.
  • Date Range from/to fields: View items on plans with an end date on or within the specified set of dates.

Plan Cancel Date options: View items on plans terminated within a specific date frame.

Options:

  • Month & Year lists: View items on plans canceled within the selected month and year.
  • Date Range from/to fields: View items on plans canceled on or within the specified set of dates.

Plans within Term - Month & Year lists: View items available on plans that have a start date before and an end date after the selected month.

Plans Year to Date list: View items on plans that are completed or will be completed in the selected year.

Columns to include checkboxes: Indicate which column(s) to display on the report.

Options:

  • Client ID: Display the ID of the client associated with an item.
  • Last Name: Display the last name of the client.
  • First Name: Display the first name of the client.
  • Pet ID: Display the ID of the pet associated with an item.
  • Pet Name: Display the name of the pet.
  • Item ID: Display the ID of an item.
  • Description: Display the name of an item.
  • Usage Group: Display the name of the group to which an item is associated.
  • Quantity Used: Display the number of an item used.
  • Usage Addressed: Display an indicator that shows whether or not an item over usage was marked as addressed.
  • Quantity Allowed: Display the number of an item allowed on a plan.
  • Original Price: Display the original unit price of an item imported from the PiMS.
  • Current Price: Display the latest unit price of an item within the application. This could be the original price imported from the PiMS or the true value if entered.
  • Start Date: Display the start date of the associated plan.
  • End Date: Display the end date of the associated plan.
  • Plan Type: Display the abbreviation associated with the type of plan linked to an item.


The generated report will display the total number of records found and an estimated dollar value of used items. The Unused Items for Active Plans and Unused Items for Completed Plans reports will also display the total dollar value of allowed items listed on the report. Below this information is a list of records that match the selected criteria.


A Usage History option is available to the far right of each line item to view item usage. Each time an item is used on a plan a record is created. Information that displays in the Usage History area includes the date the usage occurred, the quantity used, the method marked and any comments entered if manually marked used. A View Plan link is used to display the plan associated with the item in a separate tab on the browser. The Unaddressed Item Over Usage preset report has a Mark as Addressed option to remove line items from the report when they have been addressed. This action will simply remove the item from the report but maintain the over usage on that plan. Items that have been addressed can then be viewed on the Addressed Item Over Usage report.
