How to add a note to a pet's plan

The Notes tab allows managers and administrators to enter additional details regarding a plan — such as why a plan was changed, set to not renew, or to explain a payment. Notes added during plan actions such as adding, changing, or cancelling a plan also display here automatically.

When notes are added automatically

Notes entered during the following plan actions will automatically appear in the Notes tab:

  • Adding a plan
  • Changing a plan
  • Cancelling a plan

What is recorded

Each note displays the note content, the username of the staff member who was logged in at the time, and the date the note was entered.

Notes are for internal staff use and are visible within the Notes tab
Navigate to the Notes tab

Verify the correct pet and plan

Within the Client Summary page, confirm the correct pet and preventive care plan are displayed before proceeding.

Select the Notes tab

Click the Notes tab to view existing notes and access the option to add a new one.

Create and save the note

Click Add Note

Click the Add Note link to open the Create Note dialog box.

Enter the note

In the Note field, type the information about which staff should be aware for this plan.

Click Save Changes

Click Save Changes to save the note and close the dialog box. The note will immediately display in the Notes tab.

What appears after saving

Plan changed from Standard to Plus due to pet's age and updated vaccination schedule. Confirmed with Dr. Johnson.
Tip: Use notes to create a clear audit trail for plan changes, holds, non-renewals, or payment explanations. Notes are visible to all staff with access to the plan.
