Wellness plans report overview

The Wellness Plans Report page has links to several preset reports and an option to build a report. The preset reports help management quickly retrieve information about plans and include:

  • Plans with Monthly Payments: View plans within a selected month or term with a monthly payment.
  • Active Plans Paid in Full: View plans in progress or on hold that have a paid in full configuration.
  • Canceled Plans with Monthly Payments: View cancelled plans set to automatically withdraw a monthly payment in a selected month.
  • Plans without a Selected Payment Profile: View plans in progress and renewal plans without a selected payment method for collecting fees through the payment gateway.
  • Active Plans: View all plans currently in progress or on hold.
  • Active Plans not Renewing: View plans in progress or on hold that will not renew at the end of the current term.
  • New Plans by Month: View initial plans added in a selected month.
  • Cancelled Plans by Month: View all plans that have been cancelled within a selected month.
  • Plans on Hold: View all plans that are currently on hold.
  • Active Plans with Added Items: View all plans currently in progress or on hold that included added items.
  • Active Plans with Multi-Pet Discount: View plans in progress or on hold with an associated multi-pet discount.
  • Active Plans with Initial Fee Waived: View plans in progress or on hold with the initial membership fee waived.
  • Active Plans for Deceased Pets: View plans in progress or on hold associated with a pet marked deceased.
  • Plan Renewal Status by Month: View the renewal status of plans ending in the selected month.


It is also possible to create a report using the Build Custom Report button. When selected, an Advanced Filters page displays various options to narrow the report to meet specific criteria. As soon as the report is generated, the application searches the database for any records that match the selected condition(s) and displays them on the report.


Filters include:

Wellness Plan Status checkboxes: View preventative care plans assigned the selected status(s).

Options

  • Active: View plans currently in progress or on hold.
    • In Progress: View plans currently in use.
    • On Hold: View plans that have been temporarily halted.
  • Inactive: View plans that have been canceled, plans that are renewal plans not started yet, plans completed and renewals activated, and plans changed to a different plan prior to Petly Plans v1.4.1.
    • Canceled: View plans that have been discontinued.
      • Difference Paid: View plans where the client paid the difference of the non-discounted price of items used minus payments made to date when the plan was cancelled.
      • Difference Paying as Scheduled: View plans where the client chose to pay the difference of the non-discounted price of items used minus payments made to date on the normal monthly schedule until the amount owed is reached.
      • No Payment Needed: View plans where the No payments needed option was selected when canceling the plan.
      • Paying as Scheduled: View plans where client chose to pay the remaining cost of the plan on the normal monthly schedule.
      • Payments Paid Out: View plans where the client paid the remaining cost of the plan when it was cancelled.
      • Opted Out: View plans past their ending date where the renewal status had been set to Do Not Renew, indicating the pet will not continue on the program.
    • Completed: View plans that are finished and a renewal plan activated.
    • Plan Changed (legacy): View plans prior to v1.4.1 that were modified or changed to a different plan while still in progress and has a status Plan Changed.
    • Renewal: View manual and/or automatic renewal plans that have not started.
      • Automatic Renewal: View renewal plans that were automatically created but not started.
      • Manual Renewal: View renewal plans that were manually configured by staff but not started.

Cancel Reason checkboxes: View plans that were canceled for a selected reason(s).

Options: Pet Deceased, Client/Pet Moved, No Longer Owner, Financial, No Value, Default on Payment, Not Renewing, Other.

On Hold Reason checkboxes: View plans that were placed on hold for a selected reason(s).

Options: Financial, Expired Card, Incomplete Account Information, Missing Documents, Deceased Pet, Other.

Plan Type(s) selection list: View a specific category(s) of preventative care plans.

Wellness Plan Renew Status checkboxes: View plans set to renew or not renew.

Options:

  • Do Not Renew: View plans set to Do Not Renew, indicating the pet will not continue on the program.
  • Renew: View plans set to renew the following term, indicating the pet will continue on the preventative care program once the current plan has been completed.

Pet Status checkboxes: View plans associated with pets assigned a specific status.

Options:

  • Active: View plans associated with pets marked Active in the PiMS.
  • Inactive: View plans associated with pets marked Inactive in the PiMS.
  • Deceased: View plans associated with pets marked Deceased in the PiMS.

Added Items radio buttons: View plans that include items added in addition to base items, plans without added items or either.  

Options:

  • Both: View plans that include base items only and those that include base items and added items.
  • Plan with Added Items: View only plans that contain both base items and added items.
  • Plan without Added Items: View only plans that contain base items but not added items.

Payment Profile radio buttons: View plans assigned a payment method, those that are not or either.

Options:

  • Both: View plans that have an assigned payment method and those that do not.
  • Payment Method Selected: View only plans with an assigned payment method.
  • Payment Method not Selected: View only plans without a payment method assigned.

Initial Plans or Renewal Plans radio buttons: View initial plans, renewal plans or either.

Options:

  • Both: View plans that are either initial plans or renewal plans.
  • Initial Plans: View only plans that are in their first year and have not been renewed yet.
  • Renewal Plans: View only plans that are beyond the first term and are renewal plans.

Plan Payments Configuration radio buttons: View plans paid in full, plans with monthly payments or either.

Options:

  • Both: View plans that are paid in full and those that have a monthly payment.
  • Paid in Full: View only plans marked Paid in Full.
  • Monthly Payments: View only plans that have monthly payments.

Plan Start Date options: View plans with a start date on or within a specified set of dates.

Options:

  • Month & Year lists: View only plans with a start date in the selected month and year.
  • Date Range from/to fields: View only plans with a start date on or within the specified set of dates.

Plan End Date fields: View plans that will end on or within a specified set of dates.

Options:

  • Month & Year lists: View only plans with an end date in the selected month and year.
  • Date Range from/to fields: View only plans with an end date on or within the specified set of dates.

Plan Cancel Date options: View plans canceled on or within the specified set of dates.

Options:

  • Month & Year lists: View only plans canceled in the selected month and year.
  • Date Range from/to fields: View only plans canceled on or within the specified set of dates.

Plans within Term - Month & Year lists: View preventative care plans that have a start date before and an end date after the selected month.

Miscellaneous checkboxes: View preventative care plans that have the initial membership fee waived and/or a multi-pet discount applied.

 Options:

  • Waive Initial Fee: View plans that have an initial membership fee waived.
  • Multi-Pet Discount: View plans that have a multi-pet discount applied.

Columns to include checkboxes: Indicate which column(s) to display on the report. 

Options:

  • Plan ID: Display the unique ID for the plan.
  • Client ID: Display the ID of the client associated with a plan.
  • Last Name: Display the last name of the client.
  • First Name: Display the first name of the client.
  • Client Email: Display the email address associated with the client.
  • Pet ID: Display the ID of the pet associated with a plan.
  • Pet Name: Display the name of the pet.
  • Pet Status: Display the status of the pet.
  • Start Date: Display the date on which a plan is activated.
  • End Date: Display the date on which a plan is ended.
  • Plan Type: Display the abbreviation associated with a type of plan.
  • Payment Configuration: Display how payments are configured for a plan.
  • Monthly Fee: Display the monthly payment associated with a plan.
  • Initial Fee: Display the initial fee associated with a plan.
  • Cancel Date: Display the date on which a plan was discontinued.
  • Cancel Reason: Display the reason for a plan cancellation.
  • On Hold Reason: Display the reason a plan was placed on hold.
  • Plan Status: Display the status of a plan.
  • Renew Status: Display how a plan is set to renew.
  • Parent Plan: Display if a plan is the first for a pet or not. If not, a parent plan link will display to access the initial plan.
  • Payment Profile: Display the payment method associated with a plan.
  • Total Value of Used Services: Display the dollar value of items used on a plan to date.
  • Total Value of Unused Services: Display the dollar value of items than have not yet been used with a plan.
  • Total Value of Plan: Display the total dollar value of all items on a plan.
  • Percentage of Services Used: Display the percentage of services used to date on a plan.
  • Multi-Pet Discount: Display the dollar amount of the multi-pet discount for a plan.


The generated report will display the total number of records found and dollar amount totals based on columns included with the report. Below this is a list of records that match the selected criteria. Use the View Plan link to the far right to display the Client Summary Page for the selected plan in a new tab on the browser.
